Overview
Watchers in ActOns enables users to receive notifications about critical updates. You can add single or multiple watchers to monitor the progress of an ActOn. Whenever an update occurs, all watchers receive an email notification.
Notifications are sent when:

The priority is changed.

The stage is updated.

The status is changed.

The owner is assigned or updated.

A person is added as a watcher.

A user adds themselves as a watcher.

A work note is added.

A user is mentioned in a work note (they will be automatically added as a watcher).
For example, if different sets of watchers are added at the domain, org, and tenant levels for the same ActOn, all watchers, regardless of their level, will receive notifications whenever any change is made to the ActOn.
If a user adds themselves as a watcher, they will appear as a watcher at every level. If you no longer want a watcher to monitor the ActOn, you can remove them from the watch list. Doing this stops the watcher from receiving notifications. You can also stop watching an ActOn by selecting the Stop Watching This ActOn option.
User Roles
Users with the following roles can add, view, and remove watchers:
- Global Admin
- Owner
- Manager
Users with the following roles can only view watchers:
- Observer
- Configuration Manager
Adding Watchers
Follow this procedure to add watchers to an ActOn for real-time updates.
- Open the hamburger menu and navigate to Resolutions > ActOns. This displays the list of open ActOns.
- Select the ActOn to which you want to add a watcher.
- Click the eye icon and select Watch this ActOn to add yourself as a watcher.
- Click Add Watchers. The Add Watchers side sheet opens.
- From the drop-down menu, select the users you want to add as watchers. Only users within the relevant scope are visible.
- Click Submit to add the selected watchers.
Now, watchers will receive an email notification whenever any changes are made to the ActOn.
Managing Watchers
You can manage watchers by adding new ones or removing existing ones from the watch list.
- Open the hamburger menu and navigate to Resolutions > ActOns. This displays the list of open ActOns.
- Select the ActOn you want to manage.
- Click the eye icon and select Manage Watchers. The Manage Watchers side sheet opens.
- To add a watcher, select the user from the drop-down list.
- To remove a watcher, click the cross (X) icon next to their name.
- Click Submit to save the changes.
By following these steps, you can track important updates and ensure the right stakeholders stay informed about ActOn changes.
